Help Center – Vendor Information

Terms & Conditions of Purchase

Please visit Terms of Purchase for our current Terms & Conditions of Purchase for vendors.

New Vendor Information

Vendors are required to enroll via our TRS-100 Supplier Request Form. This ensures all information needed is collected and assists in vendor control at Carefree and throughout Marmon.

You will need to supply general business contact info, Tax ID/FEIN, W9, remit information and sign to acknowledge all information is correct and you agree to our Terms & Conditions of Purchase.

Invoicing Guidelines

Carefree accepts invoices via e-mail at ap@carefreeofcolorado.com or via USPS (or other delivery services such as UPS, FedEx, etc.) at 2145 West 6th Avenue; Broomfield, CO 80020.

Other invoicing methods can be approved by contacting the Carefree Accounts Payable department.

Invoices with missing or incomplete information, which do not agree with the purchase order, including any supplements or releases, or which do not agree with actual receipts will be returned for correction. No payment will be made until all outstanding problems are corrected. For the purpose of determining terms or discounts, Carefree will consider the date of invoice to be the later of the vendor’s invoice date or the date when all required corrections have been made.

Labeling Requirements

Packing List: All shipments must include a packing list. For large shipments, such as, but not limited to, truckload or container shipments, the packing list must be easily and obviously accessible before unloading the shipment. Packing lists must include the vendor’s name and address, vendor contact information, Carefree’s purchase order number, and a bill-of-lading number, tracking number, or other unique identifier. For each item delivered, the packing list must also include Carefree’s purchase order line number, Carefree’s part number, description, and quantity.

Package Labeling: Every individual item, box, or package must be labeled with Carefree’s part number, description, and quantity in human readable form. In addition, each individual item, box, or package must be labeled with Carefree’s part number and quantity in machine readable (bar coded) form. Bar codes must be code 128 or code 39 (3 of 9). Bar codes must be of reasonable quality and readability, be scaled as appropriate for different size packages, and be easily accessible without moving, opening, or re-stacking.

Labeling Errors / Problems: At Carefree’s option, shipments with missing or incomplete packing lists or missing, incomplete, or unreadable package labels will be subject to a re-labeling charge or will be returned at the vendor’s expense.
